Reporting to the Director of Supply Chain, the Sales Operations Coordinator plays a critical role in managing and optimizing the end-to-end purchase order (PO) process across all wholesale and retail accounts. This individual ensures the seamless execution of incoming orders—whether submitted via EDI or manually—by driving accuracy, timely fulfillment, and proactive communication across both internal teams and external partners. The role requires a highly organized and detail-oriented professional who thrives in a fast-paced environment and is comfortable navigating the complexities of a dynamic retail landscape. The Sales Operations Coordinator will work closely with Sales, Finance, Supply Chain, and Fulfillment partners to align inventory availability with customer demand, resolve order discrepancies, and maintain up-to-date sales and product data across systems. They will also be responsible for identifying and implementing process improvements to enhance operational efficiency and customer satisfaction. This is a pivotal intraday operations role for someone who enjoys data processing, owning processes, problem-solving in real-time, and contributing to the success of cross-functionalsales and logistics initiatives at a high-growth beauty brand. Responsibilities
Communicate with retailer partners to process and confirm receipt of POs, acknowledge timelines, and verify inventory availability. Collaborate with internal teams (Sales, Finance, & Supply Chain) to ensure all purchase order details (product codes, pricing, quantities, delivery windows) are accurate and comply with account and brand requirements. Monitor the PO lifecycle from issuance through delivery, proactively identifying and resolving delays, changes, or issues. Maintain organized records of all POs and related correspondence for audit and reporting purposes. Prepare regular status reports for internal stakeholders, highlighting any concerns or required actions. Act as the 3PL liaison for all wholesale shipments throughout the entire process; from alerting warehouse of purchase orders, troubleshooting any issues upon delivery such as errors in advanced shipping notifications and mispacks. Manage troubleshooting tracker and communicate summary of issues to the warehouse as well as cost incurred from retailer penalties. Manage wholesale email account (boutique orders, review, track and reply to any incoming requests). Process all trade marketing orders, including but not limited to gratis, sampling and any other ad-hoc requests. Data Management
Ensure internal & external inventory catalogs and UPC catalogs are up to date. Partner with the Supply Chain team to ensure all out-of-stock & back-in-stock information is up to date. Communicate out-of-stock information to retailers and boutiques weekly. Partner with Wholesale and Field teams to maximize in-stock levels across all retail doors. Process Improvement
Support continuous improvement efforts to streamline the PO process and improve service to accounts and brand partners. Contribute to implementing new systems as they become necessary and relevant. Experience & Qualifications
3+ years of experience in Sales Operations. Technical Skills
Proficiency in Excel and Google Sheets. Systems Knowledge
Prior experience with EDI order processes on platforms like SPS Commerce. Analytical Mindset
Strong attention to detail, problem-solving skills, and ability to work with large datasets. Additional Experience
Experience working with DTC / CPG.
