Events & Co‑Curricular Associate

Department : Office of Co‑curricular Activities

Job Purpose

The Events & Co‑Curricular Associate supports the smooth day‑to‑day operational and financial functioning of student societies and office activities. The role assists in coordinating event logistics, handling payments and procurement tasks, and managing routine SAP‑related processes. Working under guidance, the Associate plays a key role in enabling student engagement and campus vibrancy through effective backend support.

Responsibilities

Budget & Payment Support :

  • Assist in tracking student society budgets and preparing basic financial summaries.
  • Support the processing of payments for societies and vendors under guidance.
  • Coordinate with finance for timely processing and documentation.

SAP Transactions :

  • Prepare and submit SAP entries such as Purchase Requisitions (PRs) and Goods Receipt Notes (GRNs).
  • Maintain records of SAP transactions for office and society needs.
  • Event Booking Support :

  • Facilitate room and venue bookings for student society events and office meetings.
  • Coordinate with campus services for logistical arrangements.
  • Liaison with Student Societies :

  • Act as a point of contact for routine operational support to society POCs.
  • Communicate process timelines, requirements, and updates clearly.
  • Procurement and Logistics :

  • Assist in sourcing quotations and placing purchase requests.
  • Coordinate delivery and logistical needs for events and materials.
  • Documentation and Coordination :

  • Maintain organised records of society documents, payments, and approvals.
  • Support the administrative needs of the CCA office.
  • Moderate Society Events :

  • Moderate or monitor, or be in an oversight capacity on society events and trips.
  • Required Skills

    Basic Budgeting & Finance

  • Understanding of budget tracking and financial documentation.
  • SAP or ERP Experience

  • Familiarity with submitting and following up on ERP entries (training can be provided).
  • Event & Office Coordination

  • Ability to support planning, logistics, and general coordination.
  • Good at maintaining records, following processes, and meeting timelines.
  • Communication Skills

  • Clear verbal and written communication with internal stakeholders and students.
  • Willingness to work with team members and other departments cooperatively.

  • Qualification

  • At least a Bachelor’s (Hons) degree from an HEC‑recognised institution.
  • Experience

  • At least 1–2 years of relevant experience (internships or university work experience acceptable); interest in co‑curricular activities, event planning, or student affairs.
