Job Description :
As an Executive Assistant, you will play a crucial role in ensuring the smooth operation of our executive team. You will be responsible for managing schedules, coordinating meetings, handling confidential information, and providing administrative support. Your attention to detail, strong communication skills, and ability to multitask will be key to your success in this role.
Key Responsibilities :
- Calendar Management : Coordinate and manage the schedules of senior executives, including scheduling meetings, appointments, and travel arrangements.
- Communication : Handle incoming and outgoing communications on behalf of the executives, including emails, phone calls, and written correspondence.
- Meeting Coordination : Organize and prepare for meetings, including booking venues, preparing agendas, and taking minutes.
- Documentation : Prepare and edit documents, reports, and presentations with a high degree of accuracy and professionalism.
- Travel Arrangements : Arrange domestic and international travel, including flights, accommodations, and itineraries.
- Confidentiality : Maintain strict confidentiality and discretion with all sensitive information and communications.
- Office Management : Assist with office management tasks, including ordering supplies, maintaining records, and coordinating with vendors.
- Support Projects : Provide support on special projects and initiatives as required by the executive team.
- Relationship Management : Build and maintain strong relationships with internal and external stakeholders.
- Internal Communication : Managing incoming and outgoing calls via Zoom.
Qualifications :
Experience : Minimum of 3 years of experience as an Executive Assistant or in a similar administrative role.Education : Relevant diploma or degree in business administration or a related field is preferred.Skills : Excellent organizational and time-management skills, strong written and verbal communication abilities, and proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Must speak fluent English.Attributes : Proactive, detail-oriented, adaptable, and able to work independently as well as part of a team.Professionalism : High level of professionalism and the ability to handle sensitive and confidential information with discretion.Why Join Us?
