Job Purpose :

The Administration Specialist is responsible for overseeing assigned administrative operations and tasks for the Jamshoro site, ensuring efficiency, compliance, and alignment with organizational standards. This includes canteen operations, fleet and transport management, housekeeping, residential facilities, office areas, and all staff related administrative services.

The role serves as the compliance, safety, and governance lead for all administrative functions at the site, ensuring adherence to Haleon policies, SOPs, EHS standards, statutory requirements, and quality systems across all Admin‑controlled areas.

The position proactively identifies risks, manages deviations, and drives corrective and preventive actions (CAPAs). It collaborates with cross functional teams to support a strong compliance culture and contributes to continuous improvement efforts that enhance operational efficiency and audit readiness.

Key Responsibilities :

Ensure compliance with Haleon policies, SOPs, statutory requirements, and vendor SLAs. - Maintain audit‑ready documentation and conduct regular compliance checks. - Support internal / external audits with timely evidence and actions.

Oversee facility operations (canteen, utilities, offices, residences) in line with SOPs and safety standards. - Maintain compliance logs and conduct routine facility inspections. - Manage vendor coordination, residence upkeep, contractor attendance, and payroll data. - Oversee uniform laundry services ensuring hygiene and timely availability

Ensure 3P housekeeping standards through routine inspections and audits. - Ensure safe and compliant cleaning materials / equipment. - Manage landscaping and proper waste segregation / disposal.

Ensure compliance of all pool cars, buses, and logistics vehicles. - Monitor routes, fuel, drivers, and vehicle documentation. - Maintain fleet logs, GPS reports, and preventive maintenance schedules. - Manage repairs, breakdowns, and daily transport operations.

Handle building maintenance requests and ensure timely resolution. - Maintain updated records of office and residential facility assets.

Maintain updated facility, transport, vendor, and compliance documentation. - Renew statutory licenses and permits on time. - Review and update SOPs and admin process guidelines. Conduct skill assessments and plan relevant training. - Ensure onboarding, safety, and SOP training for new team members. - Monitor training compliance and follow up on overdue items.

Skills & Competencies :

Bachelor’s degree

4-5 years of experience in administration, compliance, or facility management roles.

Experience in FMCG, pharma, or manufacturing environments preferred.

Familiarity with ISO standards, EHS compliance, and audit processes is an advantage
