Coordination and Communication with Site Team. Collaborate with support services and work with the Site Admin team to manage clinic operations and maintain high service standards. Arrange logistics for travel and transportation for official visits. Manage Service Level Agreements (SLAs) effectively to ensure quality service. Share information regularly with the line manager and Head of Department (HOD). Coordinate with senior staff to assist with problem-solving. Maintain smooth communication with administrative staff for effective operations. Compile weekly & monthly reports on general consumables & medicine stock levels and consumption. Oversee inventory management and maintain accurate records. Update and maintain records for both fixed and non-fixed assets. Ensure Planned Preventive Maintenance (PPM) is performed on time and maintain records. Build and maintain strong relationships with line departments and donors. Ensure timely submission of utility payments (electricity, gas, water, fuel etc). Raise quarterly purchase requests for medicines, kitchen supplies, and general items. Submit petty cash payments on time. Manage mess operations and provide regular support to staff. Oversee ambulance management, ensuring proper planning and record-keeping. Maintain a daily log of operational updates. Provide support to field staff in resolving issues promptly. Ensure record-keeping aligns with organizational standards. Initiate communication with staff and departments to address complaints and improve service quality. Monitor and maintain the clinical environment according to established IHHN & Healthcare Commissions standards. Ensure compliance with IHHN Standard Operating Procedures (SOPs) and policies.
